The Senior Workplace Coordinator plays a pivotal role in ensuring smooth day-to-day operations of the workplace, delivering an excellent employee experience, and maintaining a safe, functional, and engaging office environment. This role serves as the bridge between employees, vendors, and workplace leadership, while supporting facilities operations, workplace programs, and regional initiatives.
Key Responsibilities
Workplace Operations & Facilities Management
- Oversee day-to-day workplace operations including reception, housekeeping, pantry, mailroom, and vendor services.
- Coordinate preventive and corrective maintenance schedules with vendors and engineering teams.
- Monitor and manage office supplies, pantry stock, furniture, and equipment.
- Ensure compliance with health, safety, and environmental standards.
- Track and report on workplace KPIs (uptime, response time, issue resolution, etc.).
Employee Experience & Workplace Services
- Act as the first point of contact for employees on workplace-related queries and requests.
- Support new hire onboarding, seating allocation, access cards, and orientation to office services.
- Organize employee engagement activities, townhalls, and workplace experience programs.
- Assist in planning and executing executive visits, leadership events, and office celebrations.
Space & Move Management
- Support space planning, seating charts, and workplace occupancy reports.
- Coordinate employee moves, adds, and changes (MAC).
- Partner with IT and Security teams to ensure smooth desk setups and access.
Vendor & Budget Management
- Coordinate with facility vendors (housekeeping, security, catering, maintenance, etc.) to ensure quality service delivery.
- Assist in invoice processing, purchase requisitions, and vendor documentation.
- Track expenses against workplace budget and highlight variances.
Qualifications & Skills
- Bachelor’s degree in Facilities Management, Business Administration, Hospitality, or related field.
- 5–7 years of experience in workplace coordination, facilities, or corporate real estate.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills; ability to manage multiple stakeholders.
- Proficiency in MS Office Suite, workplace management tools (CAFM/IWMS), and ticketing systems.
- Ability to work in a fast-paced, dynamic environment with problem-solving mindset.
