Role Description
We’re hiring a Talent Acquisition Coordinator to support the scheduling, logistics, and process management across our recruiting function. You’ll work closely with recruiters, hiring managers, and candidates to ensure a high-quality experience at every step of the interview process. This is a fast-paced, detail-oriented role ideal for someone who thrives on juggling multiple priorities, operating with precision, and providing exceptional candidate experience.
This role will be deeply embedded in Ashby, our ATS, so strong comfort with recruiting systems and data hygiene is critical. You will also be expected to identify opportunities for process improvement as we scale.
Responsibilities
Own interview scheduling and coordination for all roles across functions and time zones
Partner with recruiters and hiring managers to manage calendars, send confirmations, and prepare candidates for interviews
Maintain data hygiene and reporting accuracy within Ashby (our ATS), ensuring roles, candidates, and stages are properly tracked
Manage communication with candidates, ensuring timely updates and a white-glove experience
Organize and track feedback from interviewers and ensure it’s delivered promptlyDraft and send offer letters, and support pre-onboarding workflows in collaboration with People Ops
Assist with reporting and hiring funnel analytics (time-to-fill, conversion rates, etc.)
Support recruiting events, pipeline projects, and operational initiatives as needed
Identify and escalate issues or bottlenecks in scheduling, communication, or tools
Candidate Qualifications
Required
1–3 years of experience in a recruiting or people coordination role
Experience using an ATS; Ashby experience strongly preferred
Excellent written and verbal communication skills
Strong organizational skills and ability to manage competing priorities under tight deadlines
High attention to detail and a commitment to data accuracy
Professionalism and discretion when handling sensitive candidate or internal information
Nice to Have
Experience supporting in-person interview coordination
Familiarity with G-Suite, Slack, and scheduling tools
Passion for operational excellence and creating seamless internal workflows
Interest in healthcare, technology, or early-stage startup environments
